Common Manual Repository

The Common Manuals Repository (CMR) is maintained alongside the Central Data Repositories (CDRs) to centrally manage manuals common across multiple CDRs. This centralized management enables publishers to update manuals in one location, simultaneously or incrementally affecting multiple CDRs. The CMR includes tools for managing manual revisions and ensuring consistency across different CDRs.
Common Manuals and attributes
- Name: The name of the common manual as a Long Title and Short Code, shared by all instances.
- Instance: Unique instance of the common manual containing the data.
- Assignments: The CDRs the CM is assigned to.
- Notes (Common Manual in Libraries): Descriptive notes by publishers to clarify which libraries include the manual, aiding in the differentiation of instances with identical titles and acronyms.
Managing Common Manual Names
- Select the
Data Repositories icon from the top toolbar.
- Select the CMR tab.
- Select the Name option from the Manage drop-down list.
- Enter or select from the list the short code to be used for the CM using the input field labeled Short Code. This code will be used to identify the CM and as the folder name for storing all the data files that belong to the CM when updating the CDR with the CM, e.g., LCG.
- Allowed characters: alphanumeric characters, spaces, and dashes only. The Builder will convert all inputs to uppercase.
- Enter or edit the long title of the CM in the input field labeled CM Title. This is the long title given to the CM, e.g., Lavatory Cleaning Guide.
- Allowed characters: alphanumeric characters, spaces, and dashes only.
- Click the action to perform:
- Click SAVE to create a new publication title.
- Click UPDATE to save any changes.
- Click DELETE to delete an existing publication title. Publishers must first delete all instances using this name before deleting the name.
- Click RESET to reset the fields.
- The process log output will appear in the Activity Window at the bottom of the screen. Click CLEAR MESSAGES to clear the log details.
Create or Update Common Manual Instance

- Select the
Data Repositories icon from the top toolbar.
- Select the CMR tab.
- Select the Instance option from the Manage drop-down list.
- Select the required short code from the list labeled Short Code. The associated title will appear in a list format of all the instances already in the system.
- Enter or update notes in the input field labeled Notes, aiding in the differentiation of instances with identical titles and acronyms.
- Select the CREATE or UPDATE action from the list labeled Actions:
- CREATE: Do not select an existing CM from the table.
- UPDATE: Select the required CM by clicking the applicable radio button beside the CM instance. Use the notes to identify the unique instance that is affected by the update.
- Use the file upload area labeled Import Archive File Drop Zone to upload a ZIP archive:
- Drag and Drop: Drag the library ZIP file here to start importing.
- Click to Browse: Click here to open your device’s file system. Choose the library ZIP file you want to import.
- Click the START button at the bottom of the form to begin. The process log output will appear in the Activity Window at the bottom of the screen. Click CLEAR MESSAGES to clear the log details.
- Select the
Update (Apply) Common Manual in Central Data Repository
- Select the
Data Repositories icon from the top toolbar.
- Select the CMR tab.
- Select the Apply option from the Manage drop-down list.
- Select the required short code from the list labeled Short Code. The associated title will appear in a list format of all the instances already in the system.
- Select the required CM by clicking the applicable radio button beside the CM instance. Use the notes to identify the unique instance.
- Select the affected CDR from the list labeled CDR List.
- Click the START button at the bottom of the form to begin. The process log output will appear in the Activity Window at the bottom of the screen. Click CLEAR MESSAGES to clear the log details.
Delete Common Manual Instance
- Select the
Data Repositories icon from the top toolbar.
- Select the CMR tab.
- Select the Delete action option from the Manage drop-down list.
- Select the required CM by clicking the applicable radio button beside the CM instance. Use the notes to identify the unique instance.
- Click the START button at the bottom of the form to begin and click YES to confirm the deletion. The process log output will appear in the Activity Window at the bottom of the screen. Click CLEAR MESSAGES to clear the log details.
Manage Common Manual Assignments to Central Data Repositories
- Select the
Data Repositories icon from the top toolbar.
- Select the CMR tab.
- Select the Assignments option from the Manage drop-down list.
- Select the required short code from the list labeled Short Code. The associated title will appear in a list format of all the instances already in the system.
- Select the required CM instance by clicking the applicable radio button beside the CM instance title. Use the notes to identify the unique instance.
- Upon selection of the CM instance, a table containing a list of CDRs will load with a selection box to the right of each CDR title. Publishers can assign or un-assign a CM instance by making changes to the selections of the checkboxes next to the CDR titles.
- Click the START button at the bottom of the form to begin and click YES to confirm the changes. The process log output will appear in the Activity Window at the bottom of the screen. Click CLEAR MESSAGES to clear the log details.
